3.1 Pseudonymization

Plexality uses pseudonymization to separate your public presence from your private identity:

  • Display Name/Username: Acts as a pseudonym that represents you publicly on the platform
  • Real Identity: Your email, real name (if provided), and payment information are stored separately and never publicly displayed
  • Assessment Results: Can be shared using your username without revealing your real identity
  • AI Conversations: Processed using your user ID, not your real name or email

Important: Pseudonymization is not the same as complete anonymization. We can still link your pseudonym (username) to your real identity in our secure database for account management, billing, and customer support purposes.

3.2 Your Control

You control your privacy on Plexality:

  • Use a username that doesn't reveal your real identity

4. Third-Party Service Providers

We work with trusted third-party service providers to deliver our services. These providers only access your data as necessary to perform their functions:

4.1 Payment Processing

We use Stripe for payment processing. We do not store credit card numbers. Stripe's use of your personal information is governed by their privacy policy: stripe.com/privacy

4.2 AI Service Providers

Our PLEXAR AI and personality insights utilize artificial intelligence technologies from:

Your assessment responses and PLEXAR conversations may be processed by these providers to generate personalized insights. We implement technical safeguards to minimize personal information shared with AI providers.

4.3 Infrastructure & Email

4.4 Analytics & Error Monitoring

5. Data Sharing

5.1 We Do NOT:

  • Sell your personal information to third parties
  • Share your personality profiles with advertisers
  • Let advertisers, data brokers or other third parties access your PLEXAR conversations. The only outside companies that process them are the service providers listed in Section 4, which process them on our behalf, for example so an AI provider can generate PLEXAR's responses. PLEXAR Guide calls are different in one respect: Tavus also processes call data under its own terms, which let it use that data to maintain and improve its services (Section 6A)
  • Share identifiable data without your consent

5.2 We May Share:

  • With Your Consent: When you explicitly authorize sharing (e.g., sharing compatibility reports with another user)
  • Aggregated/Anonymized Data: Statistical patterns that cannot identify individuals (e.g., "30% of users score high in Openness")
  • Legal Requirements: When required by law, court order, or to protect our rights
  • Business Transfers: In connection with a merger, acquisition, or sale of assets

6. PLEXAR AI & Your Privacy

Protect Your Privacy - Do NOT Share:

  • Social Security numbers or government IDs
  • Financial account details or passwords
  • Private medical records or health information
  • Information about others without their consent
  • Details about ongoing legal matters

How PLEXAR Conversations Are Used:

  • Conversations are processed by third-party AI providers to generate responses
  • We may use anonymized conversation patterns to improve our AI
  • Conversations are stored to provide conversation history features
  • We do NOT use your conversations to train publicly available AI models without consent

6A. PLEXAR Guide

PLEXAR Guide is a live video and voice conversation with an AI guide. It is available only to signed-in users aged 18 or older who are located in the United States. This section explains what happens to your information during a Guide call. The rest of this Privacy Policy also applies.

What We Process During a Call

  • Your live camera video, if your camera is on
  • Your voice, and what you say (converted to text)
  • Your Plexality results, so the Guide knows your profile
  • Call details: start and end time, minutes used, device information, and your approximate location from your IP address (used to keep the beta to the United States and to apply the state rules in the notice below)

Who Processes It

  • Tavus, Inc. renders the Guide's face and voice, converts your speech to text and, if expression reading is on, analyzes your facial expressions and voice in real time: tavus.io/privacy-policy
  • Google (Vertex AI / Gemini) generates the Guide's replies from what you say, your profile and, if expression reading is on, Tavus's expression signals.

Both process your call so the Guide can work. Tavus processes your call under its own terms, which let it use call data to maintain and improve its services. When each call ends, we ask Tavus to delete that conversation.

What We Keep

  • We do not record or store video or audio of your calls.
  • Transcripts and recaps are saved only if you turn that option on. You can delete any conversation's transcript and recap at any time, and they are deleted when you delete your account.
  • We keep records of the minutes you use and of your payments as described in Section 7.
  • We keep a record of the agreements you accepted (which version, when, and the choices you made) for 3 years after you delete your account, so we can show what you agreed to.

Safety Signals

We check the words of the conversation for signs of crisis so the Guide can share crisis resources. We keep only a count and the time that a safety message was shown, not what was said, unless you have chosen to keep transcripts. Our product analytics provider, PostHog, receives the same record, linked to your account ID, so we can count how often it happens.

No Selling, No Advertising

We do not sell Guide data or use it for advertising.

Biometric & Perception Notice

What: If your camera is on and expression reading is on, Tavus analyzes your facial expressions and voice tone during the call to produce short-lived signals (for example, that you look puzzled) that help the Guide adjust its pace and tone. This may involve measurements of facial features. It is not used to identify you or to recognize you across calls. The Guide does not tell you what it perceives, and it never treats an expression as a diagnosis.

Purpose and length of use: only to adapt the live conversation, and only for the duration of that call.

Storage: Plexality does not store facial measurements, images or emotion labels. Tavus processes them to run the call, under its own terms, which also let it use call data to maintain and improve its services. Tavus sends the short-lived signals to our servers, which pass them to Google with each turn so the Guide can choose its reply, without saving them.

Retention and destruction: Plexality holds no expression data, so we have none to destroy. When each call ends, we use Tavus's deletion tools to ask it to permanently delete that conversation. We do not control how long Tavus keeps data under its own terms, so we do not promise a specific period.

Where you are: we decide which rule applies from your approximate location at the start of each call and, for paid plans, your billing address. If either one is in Illinois or Washington, that state's rule applies.

  • Illinois: during the beta, expression reading is off. Tavus still receives your camera video, if it is on, to run the call, but does not run its facial-expression analysis.
  • Washington: expression reading stays off unless you tick a separate box to turn it on. You can turn it off again at any time. Expression signals may be "consumer health data" under Washington law. If you turn expression reading on, they are processed only as described in this notice and shared only with Tavus and Google, and you can withdraw your consent or ask us about deletion at the address below. Our Consumer Health Data Privacy Policy explains your Washington rights in full.
  • Everywhere else in the United States: expression reading is on when your camera is on, as explained in the agreement you accept before your first call. You can turn it off at any time.

Disclosure: we never sell, lease, trade or otherwise profit from this data, and we disclose it only to the service providers described here, or where the law requires.

Your choices: turn expression reading off in the Guide lobby, or use voice-only. The Guide works either way, and a change applies from your next call.

Security: we protect this data with the same or greater care than our other confidential data.

Questions or deletion requests: privacy@plexality.com.

7. Data Retention

  • Account Data: Retained while your account is active and for 90 days after deletion
  • Assessment Results: Retained while your account is active or until you request deletion
  • PLEXAR Conversations: Retained while your account is active or until you request deletion
  • Payment Records: Retained for 7 years for tax/accounting compliance

7.1 Service Improvement

We may use anonymized and aggregated assessment data and PLEXAR conversation patterns to improve our services. This data is stripped of any identifying information and cannot be linked back to you. For example, we might analyze general response patterns to improve our assessment questions or AI responses, but this analysis never includes your identity, email, or username.

8. Your Rights & Account Deletion

You have the right to delete your account and all associated data at any time. When you delete your account:

  • Your personality profile and assessment results are permanently deleted
  • Your PLEXAR conversation history is permanently deleted
  • Your account information is removed after a 90-day grace period
  • Any compatibility analyses involving you are removed
  • Payment records are retained for 7 years as required by law

To delete your account, you can do so from your account settings or by contacting us at privacy@plexality.com.

Note: We cannot provide our services without processing your data. If you wish to stop all data processing, you will need to delete your account.

9. International Data Transfers

Plexality is based in the United States. Your information may be transferred to and stored in the United States and other countries where our service providers operate.

For users in the European Economic Area (EEA), we ensure appropriate safeguards through Standard Contractual Clauses and Data Processing Agreements with our service providers.

10. Children's Privacy

Plexality is not intended for users under 16 years of age. We do not knowingly collect personal information from children under 16. If you believe we have collected information from a child under 16, please contact us immediately at privacy@plexality.com.

PLEXAR Guide is for adults only (18+). If we learn that a Guide user is under 18, we end their access to PLEXAR Guide.

11. Security

We implement appropriate technical and organizational measures to protect your data:

  • Encryption in transit (TLS) and at rest (AES-256)
  • Strict access controls and authentication
  • Regular security reviews and monitoring
  • Separation of identity data from assessment data

However, no system is completely secure. We cannot guarantee absolute security of your data.

12. Cookies

We use cookies and similar technologies for:

  • Essential Cookies: Required for authentication and core functionality
  • Analytics Cookies: To understand how users interact with our platform
  • Preference Cookies: To remember your settings and preferences

You can control cookies through your browser settings. Disabling certain cookies may affect platform functionality.

13. California Privacy Rights (CCPA)

California residents have additional rights under the CCPA:

  • Right to know what personal information is collected and how it's used
  • Right to delete personal information
  • Right to opt-out of the sale of personal information (we do not sell your data)
  • Right to non-discrimination for exercising privacy rights

14. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or through a notice on our platform. Your continued use of Plexality after changes constitutes acceptance of the updated policy.
